A handover is complete only when the incoming person understands the risk, next action, owner and escalation trigger.
Hostel risks often increase at shift boundaries because context is lost. A short, standard handover protects residents and staff better than long informal messages.
Information to hand over
- Current occupancy, approved absences and overdue returns requiring action
- Open medical, welfare or safety concerns and the authorised support already involved
- Visitors, access exceptions and any restricted areas
- Unresolved complaints, utility failures or maintenance hazards
- Planned activities, contractor work and transport movements
- Actions completed, actions pending, named owners and deadlines
- Conditions that require immediate escalation
Use factual, respectful language
Record what was observed, reported or decided. Do not use character judgements such as difficult, dramatic or troublesome. Distinguish a verified fact from an allegation and a concern from a conclusion. Share sensitive details only with people who need them for the next action.
Five-minute handover sequence
- Review critical safety and welfare items first.
- Confirm the status of every resident movement exception.
- Review service disruptions and temporary controls.
- Ask the incoming officer to repeat urgent actions and escalation triggers.
- Both parties record acknowledgement, time and contactability.
Supervisory review
A supervisor should sample handovers weekly for missing ownership, vague language, unnecessary personal data and repeatedly carried-forward items. The purpose is process improvement, not fault-finding.
Sources and professional review anchors
- Primary sources for role and implementation review:
- UGC student-centric regulations and guidance
- National Anti-Ragging Programme advisories
- DGHS National Mental Health Programme and Tele-MANAS
- Implementation note: adapt duties, authority, training and escalation to the university’s approved role charter, current law and competent professional advice.
